+ Policy brief & purpose
This Company Policy includes the measures we are actively taking to mitigate the spread of coronavirus whilst continuing to serve our customers to the high standards we and they expect. We kindly request that all staff, partners, subcontractors and visitors to EO’s premises or who work with us on clients’ premises follow all these rules diligently, to sustain a healthy and safe workplace in this unique environment. It is important that we all respond responsibly and transparently to these health precautions.
This coronavirus (COVID-19) Company Policy will change and be updated in line with the evolving situation and the introduction of additional governmental guidelines. If and when this happens, we will update this Policy as soon as possible.
+ Scope
This coronavirus Policy applies to all of our employees, subcontractors and visitors to our offices. We strongly recommend that our remote working personnel, including those working from home and those at clients’ sites, read through and comply with this action plan as well, to ensure we collectively and uniformly respond to this challenge.
+ Policy Elements
Here, we outline the required actions that employees and visitors should take to protect themselves and their co-workers from a potential coronavirus infection.
+ Sick leave arrangements
If you have cold symptoms, such as cough/sneezing/fever/loss of taste or smell, or feel poorly, request sick leave or work from home.
If you have a positive COVID-19 diagnosis, you can return to the office only after you’ve fully recovered, with a doctor’s note confirming your recovery.
+ If you have symptoms or have been in contact with infected people
If you have symptoms, such as cough/sneezing/fever/loss of taste or smell, or feel poorly, employees should request sick leave or work from home; subcontractors, partners and visitors should not attend our site or our clients’ premises under these circumstances.
If you have a positive COVID-19 diagnosis, employees can return to the office and visitors can come to our offices, only after you’ve fully recovered, with a doctor’s note confirming your recovery.
If you’ve been in close contact with someone infected by COVID-19, with high chances of being infected yourself, you should not come into or visit our offices or any of our clients’ premises. You will also be asked not to come into physical contact with any colleagues during this time.
Employees who need to provide care to a family member infected by COVID-19, can request to work from home. You will only be permitted to return to the office 14 calendar days after your family member has fully recovered, provided that you’re asymptomatic or you have a doctor’s note confirming that you don’t have the virus. You will also be asked not to come into physical contact with any colleagues during this time.
+ Traveling/commuting measures
EO will be widely using Teams, Zoom and other methods to make communicating with our partners, customers and each other possible without face to face meetings at this time.
Non-essential work trips and events – both domestic and international – will be cancelled/postponed until further notice. In the event that a work trip is essential e.g. travel to a customer’s premises, employees are being asked to obtain their line manager’s approval in advance.
In-person meetings should be done virtually where possible. Visitors to EO’s offices are by appointment only.
We ask that visitors sign in and out in reception on each visit. Visitors will be accompanied at all times when they are on site and will be asked to use the PPE provided. Disposable face masks must be worn when moving around inside the offices and both masks and gloves must be worn in our Production area.
If any member of staff or visitor has any concerns about the safety precautions at the premises, we encourage them to please advise their line manager or EO contact.
Staff who normally commute to the office by public transport are encouraged to use their car or bike to commute where possible and only use public transport if absolutely necessary.
+ General hygiene rules
Everyone, please:
Wash your hands after using the toilet, before eating, and if you cough/sneeze into your hands (follow the 20-second hand-washing rule). You can also use the sanitizers which you will find around the office.
Cough/sneeze into your sleeve, preferably into your elbow. If you use a tissue, discard it properly and clean/sanitize your hands immediately.
Open the windows regularly to ensure open ventilation.
Avoid touching your face, particularly eyes, nose, and mouth with your hands to prevent from getting infected.
If you find yourself coughing/sneezing on a regular basis, avoid close physical contact with your co-workers and take extra precautionary measures (such as requesting sick leave).
Use masks and gloves provided, where it is compulsory or convenient to do so.
Use cleaning materials provided to clean down work surfaces regularly.
If you experience any of the Government’s listed symptoms you are now able to request a COVID-19 test and the Company will require this to take place before further arrangements are agreed around returning to work; this will include suitable time for isolation requirements
